    LeaseWare Update: Lease Accounting Module and QuickBooks Collections Sync Are Now Live

    Tenmark releases a full ASC 842 / IFRS 16 lease accounting module plus a native QuickBooks Online integration that posts rent and recovery collections as categorized income.

    What We Shipped This Month

    LeaseWare by Tenmark is now a complete operating system for commercial lease economics. Two major capabilities have graduated from early access to general availability:

    • ASC 842 / IFRS 16 lease accounting for landlords and tenants, with lessor and lessee perspectives, straight-line schedules, deferred rent rollforwards, maturity analysis, and exportable journal entries.
    • QuickBooks Online collections sync, which posts rent and recovery payments from the Collections module directly into QuickBooks as categorized income.

    Together they close the loop between the lease terms in your documents, the rent you bill, the cash you collect, and the entries that hit your general ledger.

    Lease Accounting Built for Real Portfolios

    Most CRE teams do not struggle with the concept of straight-line rent. They struggle with keeping the schedule tied to the executed lease after every amendment, renewal, and abatement. The new LeaseWare accounting module treats the abstracted lease record as the single source of truth and rebuilds every downstream schedule automatically.

    Lessor and lessee perspectives

    Switch between landlord rent-collection accounting and tenant ROU-asset / lease-liability accounting without duplicating data. Both views read from the same lease record, so owners and occupiers can stay in sync on commencement, expiry, escalations, abatements, TI, landlord work, and commissions.

    Contractual vs. actual rent reconciliation

    The module includes a toggle that compares the rent the lease says you should bill against the rent actually collected through the Collections tab. This surfaces billing gaps and A/R issues inside the same view used for GAAP revenue recognition, so accounting and operations see the same picture.

    Deferred rent rollforwards

    Opening balance, plus recognized straight-line revenue, less cash billed, equals closing balance. When a lease is amended or renewed, the rollforward regenerates from the revised terms instead of being patched by hand.

    Maturity analysis and journal entries

    Future undiscounted lease payments are bucketed by year starting from the current period, excluding variable consideration such as percentage rent and true-ups. Month-end journal entries are generated per lease and per property, ready for export or GL import.

    QuickBooks Collections Sync

    The Collections module now connects directly to QuickBooks Online. After mapping your QuickBooks rent income, recovery income, and deposit accounts in Settings, any recorded payment can be pushed to QuickBooks in one click.

    Categorized revenue

    Rent payments are posted against a Rent Income service item, and recovery payments against a Recovery Income service item. That means collections land in the right QuickBooks income account instead of being dumped into a generic uncategorized bucket.

    Two sync modes

    Teams can choose the posting style that matches their workflow:

    • Sales Receipt — records the collection as a single deposited transaction, ideal for cash-basis or rapid deposit recognition.
    • Invoice + Payment — creates an invoice for the amount due and a separate payment linked to it, preserving A/R detail and customer history.

    Customer resolution

    The integration finds existing QuickBooks customers by name or creates a new customer from the tenant record, then writes the QuickBooks customer ID back to the tenant profile so future syncs are instant.

    Error handling and retry

    Every sync attempt is logged. Successful posts record the QuickBooks entity type and entity ID. Failed posts capture the error message so accounting teams can fix the mapping and retry without re-keying the payment.

    How the Two Modules Work Together

    Lease terms captured during abstraction or lease creation feed the accounting schedules. The same terms feed the Collections module, which knows what rent and recoveries are due each period. Collections then posts actual cash to QuickBooks against the income accounts that match the lease accounting treatment.

    The result is a single chain of data from lease document → abstracted terms → billing schedule → collection → GL entry, with an audit trail behind every edit and every sync.

    Security and Audit Controls

    Both modules inherit the organization-based access controls already in LeaseWare:

    • Accounting schedules and collections data are scoped to the user's organization through Row-Level Security.
    • QuickBooks credentials are stored as organization-level connections and are never exposed in the browser.
    • The sync function validates that the caller belongs to the organization that owns the payment before posting to QuickBooks.
    • Audit trails capture changes to lease terms and every sync attempt.

    Getting Started

    Existing LeaseWare users can enable the new capabilities from the platform immediately:

    1. Open Lease Accounting from the dashboard to review straight-line schedules, deferred rent, maturity analysis, and journal entries for any lease.
    2. Connect QuickBooks Online in Settings, then map Rent Income, Recovery Income, and Deposit accounts.
    3. Record a payment in Collections and click Sync to QuickBooks to post it for the first time.

    New users can start with a Starter, Growth, Business, or Enterprise plan; all paid plans include the lease accounting module and QuickBooks collections sync.

    What Is Next

    The next releases will extend the accounting module with operating-expense and CAM reconciliation, security-deposit tracking, and automated rent-escalation workflows. QuickBooks sync will expand to cover vendor bills, expense imports, and automated monthly close summaries.

    For CRE teams that have been managing lease economics across spreadsheets, PDFs, and disconnected accounting tools, this release removes the manual handoffs and gives every stakeholder the same live numbers.
